The Executive Assistant will be responsible for the administrative management of the office and support to the EDFI Secretariat team. The position requires frequent communication and coordination with staff in EDFI’s member and partner institutions.
Assisting the General Manager’s daily schedule and duties, including managing calendar, commitments, and travel arrangements
Providing general administrative support to the Secretariat team, including receiving visitors and incoming phone calls; organising meetings and event logistics; drafting correspondence, meeting notes, presentations; managing contacts database; providing other support as needed
Assist with various human resource and accounts payable activities, including preparing monthly payroll and accounts payable for processing and accounting (by outsourced providers); assisting with new employee recruitment and orientation; and maintaining records
Performing general office/facilities management, including purchasing office supplies, maintaining office facilities and equipment; and handling working space allocations
The ideal Executive Assistant will be experienced in handling a wide range of administrative and executive support related tasks, will enjoy the challenges of supporting a small office of diverse people and programmes, and has the following profile:
3+ years of administrative experience in an office setting.
Prior experience in European or other international institution (preferred).
Excellent planning and organization skills and attention to detail.
Demonstrated ability to manage complex tasks and prioritise demands to meet deadlines.
Team-player with ability to work in multi-cultural environment.
Excellent written and verbal communications skills in English.
Proficiency in Microsoft Office software suite.
